How to set up a shipment-tracking chatbot

A shipment-tracking chatbot matches a customer’s parcel to current order or logistics records. A reliable setup distinguishes label creation, carrier handover and final delivery. When source information is missing, the assistant should explain the uncertainty rather than guess, and route the necessary request to the operations team for follow-up.

Identify the source of each field

Your commerce platform may hold a tracking number, while detailed carrier scans need a separate connection. List the source for each field. When reviewing available integrations, do not assume every movement from every carrier is accessible.

Match customers to the correct shipment

An order or tracking number alone may not authorise disclosure of every detail. Define appropriate verification. If an order is split into parcels, explain which products belong to each shipment rather than marking the entire order delivered when one parcel arrives.

Translate statuses into plain language

  • Label created: the parcel may not yet have reached the carrier.
  • In transit: share the latest scan and tracking link where available.
  • Out for delivery: do not invent a delivery time.
  • Delivered: open an investigation request if receipt is disputed.

Consider the last update time. Do not present an old scan as fresh information.

Prepare delay and missing-parcel workflows

Use operational rules for overdue shipments, damage and delivery disputes. Once a support case exists, share its reference and next step. Prevent repeated enquiries from creating unnecessary duplicate cases.

Test and monitor after launch

Try unknown references, wrong customers, split shipments, carrier outages and conflicting statuses. Track correct answers, repeat enquiries and operational handoffs. Update mappings when carriers or status labels change.
